How to Price Custom Orders, Revisions & Rush Work

A custom order can consume time before production begins and after the item is made. A useful quote makes design, communication, expected revisions, rush work, fulfillment, fees, and profit visible instead of hiding them inside materials.

Published by Maker Profitability, a Small Hours Labs project.

Separate production labor from order-level labor

Production hours multiply by quantity. Design and setup, communication and administration, and expected revision hours apply to the full order. The current calculator uses one labor rate across those categories, rounds each category independently, and adds labor to materials and other direct costs before solving for profit.

Order-level costs can include outsourced or specialty supplies, packaging, actual shipping, rush cost, and another direct order cost. Customer charges for design, revisions, rush work, shipping, or other add-ons are tracked separately from the costs they are meant to recover.

Let the complete customer total carry the fees and margin

The recommended solver finds the smallest whole-cent base quote whose final customer charge meets the selected profit margin after add-ons, discount, direct costs, percentage fees, and the fixed processing fee. A proposed base can be evaluated without hiding the recommendation.

Business profit remains separate from labor compensation. Owner compensation in this model is labor cost plus business profit; true hourly earnings divides that amount by all entered labor hours.

Worked example

A commission with visible revisions and rush work

This fictional example uses illustrative assumptions. It is not a recommendation or an industry benchmark.

Assumptions

  • One fictional custom textile commission with $20.00 of materials
  • One production hour, 30 design minutes, 15 admin minutes, and 15 expected revision minutes at $30.00 per hour
  • $5 packaging, $10 actual shipping, and $5 rush cost
  • $15 design, $5 revision, $10 rush, and $10 shipping customer charges
  • 6.5% platform fee, 3% processing fee, and $0.30 fixed processing
  • 30% illustrative target margin and 50% deposit

Calculation and result

  • Total labor2.00 hours / $60.00
  • Total direct cost$100.00
  • Recommended base quote$125.79
  • Customer add-ons$40.00
  • Customer total$165.79
  • Estimated fees−$16.05
  • Business profit$49.74
  • Owner compensation$109.74
  • Effective owner earnings$54.87/hr
  • Deposit / remaining balance$82.90 / $82.89

Independent fee rounding produces $16.05 of fees. The smallest supported base quote is $125.79; with $40 of add-ons, the customer total is $165.79 and estimated business profit is $49.74.

Common custom-pricing failure points

  • Charging for making time while leaving design and communication unpaid.
  • Assuming revision time will be zero without stating the planning assumption.
  • Adding a rush surcharge but forgetting the rush expense or extra hours.
  • Treating shipping charged to the customer as if it were the shipping cost.
  • Counting a deposit as additional revenue.
  • Applying a discount after solving the quote but not recalculating fees and margin.
